Workforce Administrator 

Are you the kind of person who spots a blank data field before anyone else notices it's missing? Do you get satisfaction from a well-run training calendar and a system that's set up exactly as it should be? And do you genuinely believe that looking after our workforce means more than just having good intentions – it means making sure the systems, training and support around our people actually work?

We're looking for a Workforce Administrator who is keen to be part of a busy HR team and making sure the systems and processes behind it all work as they should.

You'll be helping us stand up a new training pathway for our support workers. You'll help coordinate all the moving parts, keep things on track and, once it's up and running support those overseeing it.

You'll also get stuck into some of the processes and one-off system projects that we've been too busy to give the attention they deserve. These aren't big projects, and you don't need to be an IT whizz – you just need a brain that naturally thinks in systems and processes.

Most importantly, you'll understand that good workforce administration isn't just about keeping records tidy. It's about knowing that there are real people behind the data, the training bookings and the processes – and taking responsibility for making sure we've got things right for them. We're looking for someone who notices when something isn't working, cares enough to follow it up and takes pride in helping our workforce feel supported and well looked after.

Longer term, there's plenty of opportunity to broaden the role and get your teeth into recruitment and onboarding as part of a wider team of three, as well as supporting the wider HR function.

Job Description

About the role

Reporting to the General Manager Workforce, you'll be one of the people helping keep our workforce systems, data and training processes running smoothly.

This is a varied role for someone who likes a bit of structure, enjoys getting stuck into systems and doesn't mind chasing down the odd missing piece of information. You'll be working across ELMO and Humanforce, keeping data clean and accurate, coordinating training, supporting compliance and helping us improve the way things are done.

There's a good mix of day-to-day coordination, administration and project work, so you won't be doing the same thing every day.

What you'll be doing

  • Keeping employee data accurate, complete and up to date – and being the person who notices when something doesn't look right
  • Managing ELMO user access, permissions and system configuration, and sorting out issues as they pop up
  • Running regular checks and reports to catch gaps and discrepancies before they become bigger problems
  • Helping get our new support worker training pathway up and running, then supporting the team to keep it on track
  • Keeping an eye on training attendance, following up non-attendance and escalating recurring issues to the right Managers
  • Keeping the training calendar organised and booking rooms and venues across our different regions
  • Making sure documentation is kept up to date
  • Getting stuck into process and system improvement projects – from fixing small frustrations to helping us build better ways of working
  • Over time, taking on more responsibility across recruitment and onboarding and supporting the wider HR team
  • Being someone our workforce can rely on to get the details right, follow things through and help make their experience of work as smooth as possible

Desired Skills and Experience

What you'll bring

You don't need to have done exactly this job before. We're more interested in how you think and how you work.

  • Good, professional communication skills are key
  • A positive outlook- some of the work we do is hard, but the team are genuinely happy and supportive
  • Experience in administration, workforce coordination, HR, training coordination or a similar role
  • A genuine care for people and an understanding that good workforce support is about more than administration – it's about making sure our people have what they need to do their jobs well
  • A genuine interest in making processes simpler, systems better and people's working lives a little easier
  • A natural eye for detail – you're the person who notices when something is missing, doesn't add up or could be done better
  • An organised, methodical approach and the ability to keep multiple moving parts on track
  • Confidence working with systems and data, and the curiosity to work out how things fit together
  • Experience with an HRIS such as ELMO or Humanforce would be great, but isn't essential
  • The ability to pick up new systems quickly – someone who isn't afraid to have a poke around and figure things out
  • The ability to work across competing priorities without losing sight of the detail
  • Good judgement and discretion when dealing with confidential employee information
  • A proactive, practical mindset – you see something that needs fixing and you're inclined to do something about it
