Job Description
The Role
We’re looking for someone who’s ready to jump in, learn on the job, and help keep things running smoothly in our HR (we call it Workforce) team. You don’t need to be HR trained (but this could be a bonus)— if you can show up, stay organised, communicate well, have a good sense of humour and bring a positive attitude, we can teach you the rest.
You’ll help make sure new and prospective employees have a great experience, keep our records tidy, and support the team with day‑to‑day tasks that keep the organisation humming.
Key Responsibilities
You’ll learn to:
Support the recruitment process from start to finish
Prepare and upload job ads
Do initial candidate screening
Coordinate interviews and keep candidates updated
Prepare employment offers and onboarding documents
Maintain accurate employee records and files
Enter and update information in our HR systems
Manage the workforce inbox and direct queries to the right place
Assist with compliance checks
Track performance appraisal dates and send reminders
Support the administration of internal policies
Provide friendly, professional support to managers and staff
(If you don’t know how to do all of this yet — don’t panic. That’s what we’re here for.)
Desired Skills and Experience
About You
This role is ideal for someone who may be returning to work, shifting careers, or looking to bring their strong organisational and people skills into a new environment. Whatever your background, what matters most is your reliability, willingness to learn and confidence in handling tasks with care and attention.
You’ll thrive here if you are:
Organised and able to juggle a few things at once
Comfortable talking to people at all levels (or at least willing to practice)
Detail‑focused and good at keeping things tidy — especially digital files
Professional, approachable, and discreet with sensitive information
Able to stay calm when things get busy
Good at knowing when it’s time for a chat and when it’s time to get your head down
Keen to learn about HR in a supportive, medium‑sized NGO where you’ll make a real difference
Skills & Experience
We’d love to see:
Administration or coordination experience (but not essential)
Good written and verbal communication
Confidence using Microsoft Office
Ability to prioritise tasks and meet deadlines
A positive, solutions‑focused attitude — we value this more than a long CV
Why Join Us?
You’ll be part of a hardworking, friendly Workforce Team that believes in collaboration, continuous improvement, and the occasional well‑timed laugh. We take our work seriously, but we definitely don’t take ourselves too seriously.
This role offers hands‑on experience across recruitment and HR — ideal if you’re building confidence after time away from the workforce or ready for a new direction. You’ll learn, grow your skills, and be supported every step of the way.
Please note: You must be available for an in‑person interview in Dunedin.
